Standard Chart of Accounts
Maintain the one shared account hierarchy used by every client workspace in the tax firm.
What this menu does
Keep a single, controlled source of selectable accounts for invoice allocation, vouchers, ledgers, tax workflows, and fixed assets.
Where to find it
Tax Firm navigation: Settings → Standard Chart of Accounts.
When to use it
- Review system readiness.
- Search, filter, expand, or collapse the account tree.
- Add a root or child account.
- Edit allowed account fields.
- Deactivate or restore an account.
Before you begin
- Sign in to the Tax Firm portal.
- The account must be allowed to view this menu.

Supported operations
Review system readiness

Open Standard Chart of Accounts.
- 2
Read the ready count in System readiness.
- 3
Review every purpose marked Missing, Duplicate, or Unavailable.
- 4
Treat System purpose as read-only; this page does not provide an editor for it.

For any readiness exception, do not assign a system purpose yourself; ask an authorized administrator or support team to resolve it through the approved master-data process.
The page shows whether all eight required purposes are ready without exposing internal-purpose editing.
Find and inspect accounts

Search by code or name, or choose status and account class.
- 2
Use the 1xxx–5xxx class bar to narrow the tree.

Expand or collapse branches when no filter is active.
- 4
When filtering, review the matching rows together with their visible ancestors.
The page shows the relevant hierarchy branch and keeps root-based pagination clear.
Add a root account

Select Add root account in the page header.

Choose the account class.
- 3
Review the pre-filled suggested four-digit code and edit it if necessary, then enter the name and normal balance.

Create the account and confirm that it appears as a new root in the intended class.
The root account is added to the shared firm hierarchy.
Add a child account

Use Add child in the intended parent's Actions cell.

Confirm the read-only parent and account class.
- 3
Review the pre-filled editable suggested child code and adjust it if necessary, then enter the name and normal balance.

Create the account and confirm that it appears under the intended parent.
The child account is added to the one firm-wide hierarchy used by client business forms.
Edit allowed fields

Select Edit in the account's Actions cell.

Confirm the read-only parent and account class.
- 3
Change the code, name, or normal balance as required; a code must remain in the same account class.

Save and verify the updated row.
Allowed fields update for future use while saved historical account labels remain unchanged.
Deactivate or restore an account

Select Deactivate in the account's Actions cell.

Read the impact on the account and its descendants, then confirm once.

Verify the status, including any descendants shown as Inherited unavailable.

Use Restore directly when the account should become active again; a descendant remains unavailable if its own status is inactive.
The account's effective availability changes for new selections, while historical snapshots remain intact.
Business rules and fields
- One standard chart belongs to the tax firm and is shared by all of its client workspaces.
- Root codes contain four digits; codes contain 4–13 digits, the first digit defines the class, and the hierarchy supports up to four levels.
- Parent and account class cannot change after creation; code changes must remain in the same class.
- A selectable account must be active, have only active ancestors, be a leaf, and be postable.
- Adding a child makes its parent unavailable for new selection but does not rewrite saved voucher or ledger snapshots.
- System purpose is read-only. Readiness requires exactly one selectable account for each of eight required purposes: accounts receivable, accounts payable, input VAT, output VAT, EWT payable, CWT, sales revenue, and expense/purchases.
- The page uses deactivation and restoration rather than permanent deletion.

- The firm has one traceable account hierarchy for future selections across all client workspaces, while historical voucher and ledger labels remain frozen.
Common problems
The menu, client, or action is missing.
The employee role, client assignment, or current record status does not allow it.
Ask a firm administrator to verify the employee role and client assignment, then reopen the page.
A save or load action fails.
The session may have expired, validation may have failed, or the service is temporarily unavailable.
Refresh once, correct any field-level message, and retry. Keep the request identifier if the page provides one.
