What this menu does

Provide the unified invoice records, review, upload, recognition, and archive entry for the client.

Where to find it

Client workspace navigation: Invoices → Invoice library.

When to use it

  • Upload and recognize invoice files.
  • Review drafts and exceptions across both directions.
  • Create manual input or output invoices.
  • Find, open, archive, void, or trace invoices.

Before you begin

  • Open the correct client workspace.
  • Confirm the company name shown in the workspace header.

Supported operations

01

Find and filter invoices

Purpose
Locate the required record or exception within this menu's preset scope.
  1. 1

    Use invoice/counterparty search plus status, date, exception, and other available filters.

  2. 2

    Review summary cards and result count.

  3. 3

    Confirm invoice direction, number, counterparty, amount, status, and source before acting.

  4. 4

    Reset filters when the expected record is not shown.

Result

The list shows records matching this menu's direction preset and active filters.

Create a manual invoice

Purpose
Record an externally issued or received invoice when no usable imported draft exists.
  1. 1

    Select Manual entry and choose input or output direction.

  2. 2

    Enter header, seller/buyer, counterparty, tax, line-item, allocation, and attachment data.

  3. 3

    Save draft when incomplete, or confirm and generate only after readiness and duplicate checks pass.

  4. 4

    Return to the same menu and verify status.

Result

A draft or confirmed invoice is created within the selected direction.

Review and confirm an invoice

Purpose
Turn a draft or recognition result into an accounting-ready record.
  1. 1

    Open Continue review or Start review for an eligible draft.

  2. 2

    Confirm invoice number/date, seller, buyer, counterparty, currency, amounts, VAT treatment, and line items.

  3. 3

    Complete applicable CWT decision, ATC, tax base, amount, month, and exception reasons.

  4. 4

    Review primary/supporting attachments, duplicates, allocation, completeness, and voucher preview; then confirm and generate when ready.

Result

A ready invoice becomes confirmed and can have its main voucher generated; unresolved blockers remain explicit.

Use invoice lifecycle actions

Purpose
Open details, edit eligible drafts, return to draft, archive, void, or delete according to status.

    Open the verified invoice row or detail.

  2. 2

    Use Edit only when the status allows draft changes.

  3. 3

    For return, archive, void, or delete, read the impact and enter a reason when requested.

  4. 4

    Verify the status after the action; posted accounting effects may require controlled adjustments.

Result

The invoice lifecycle changes without erasing its audit and downstream trace.

Upload and monitor recognition

Purpose
Submit source files, follow recognition progress, retry eligible tasks, or request client re-upload.
  1. 1

    Select Upload invoice and choose supported PDF, JPG/JPEG, PNG, or ZIP files up to 25 MB each.

  2. 2

    Submit and switch to Recognition progress.

  3. 3

    Filter by batch, status, or re-upload action and open task detail.

  4. 4

    Retry an eligible task after fixing the cause, or send a client re-upload request with a clear reason.

Result

Files enter recognition; task outcomes and client re-upload handoff remain traceable.

Business rules and fields

  • The library covers both input and output directions and includes upload, review queue, and recognition progress.
  • Manual entry records an invoice already issued or received through lawful external channels; it does not issue a legal invoice to a customer.
  • Invoice direction is fixed after entry/review context is chosen.
  • A complete review requires business data, tax decisions, duplicate readiness, and required attachment evidence.
  • The library's Records, Review, and Recognition progress tabs serve different stages.

What happens next

Common problems

The page is view-only or an action is missing.

The workspace is read-only, the employee lacks maintenance access, or the record status blocks changes.

Verify the client lifecycle status and your access with a firm administrator. Do not work around the restriction in another client.

A save, generation, or load action fails.

Business validation, missing source data, an expired session, or a temporary service problem can block the action.

Read the business reason shown on the page, fix the source data, and retry once. Preserve the request identifier when asking support for help.

Visibility and access

The page follows employee permissions, client assignment, and workspace mode. Suspended clients can be view-only; draft or terminated clients cannot enter the workspace.
